Cloud App & Google Workspace Migration for Ricavi.pl

The Challenge

Ricavi.pl, an accounting firm, needed a unified system to manage daily accounting operations, client files, and team communication — without juggling multiple disconnected tools. Spreadsheets, email threads, and siloed apps were slowing the team down, especially during peak periods like month-end tax reporting.

1. All-in-One Custom Platform (LEDGE)

We built and deployed a custom management platform tailored specifically for accounting workflows, bringing core operations into a single dashboard:

• Compliance Calendar — automated tracking for VAT, ZUS, JPK, and payroll deadlines per client and team member.
• Document & Task Queue — centralized document review, client file management linked to Google Drive, and task inboxes.
• Time Tracking & Projects — built-in time logging per client code with full reporting for managers.
• Integrated Communication — staff chat for team messaging and integrated Gmail browsing right inside the app.

2. Cost-Effective & High-Performance Cloud Architecture

We hosted the platform and key services on Google Cloud Platform (GCP). Instead of paying for oversized traditional servers, we built an auto-scaling setup. It delivers high performance during heavy accounting deadlines — like month-end tax reporting — while keeping running costs as low as possible during off-peak hours.

3. Automated & Secure Setup

Using Terraform (Infrastructure as Code), we fully automated the cloud environment. The setup meets strict accounting security standards with full Audit Log tracking ("who changed what and when") and role-based access controls to keep financial data secure.

4. Seamless Google Workspace Integration

We fully integrated Google Workspace with SSO (Single Sign-On) login, automated user provisioning, and direct synchronization with Gmail and Google Drive — giving the team one login, one workspace, and zero context switching.
